Import into QuickBooks
Download QuickBooks Web Connect (.qbo) from the preview. The file is built in this browser. It is an OFX 1.02 Web Connect statement: each row has a FITID, and the file carries an INTU.BID bank id. QuickBooks uses the FITID to skip a transaction it has already imported for that account, so importing the same file twice should not double-post.
Before you download, set the account type and, if you want repeat imports to land on the same account, the last 4 digits. The bank id defaults to 3000, which QuickBooks Desktop already recognizes. Desktop may label that source Wells Fargo. Replace 3000 with your bank's id if you have one. The transactions themselves do not change.
QuickBooks Online
- Go to All apps, then Accounting, then Bank transactions.
- Select the account, if it is already listed.
- Open the Link account menu and choose Upload from file. If the account is not connected yet, choose Upload from file there too.
- Select the .qbo file and continue.
- Choose the QuickBooks account, or add one, then continue.
- Review the rows before you add them. A .qbo upload does not ask you to map columns.
Menus move between versions. If the label differs, look for Upload from file. QuickBooks also accepts the 3-column QuickBooks CSV (Date, Description, Amount) when a screen asks for a spreadsheet instead of Web Connect.
QuickBooks Desktop
- Back up the company file.
- Choose Banking, then Bank Feeds, then Import Web Connect Files. Some editions use File, then Utilities, then Import, then Web Connect Files.
- Open the .qbo file.
- Use an existing account or create one. Match the account type and the last 4 digits you entered.
- Continue, then review the transactions in the Bank Feeds Center.
If Desktop says the financial institution is not recognized, the bank id is not in its directory. Download again with 3000, or with the id your bank publishes for Web Connect. A credit-card statement uses the credit-card message in the file, not a checking account.
Xero
Xero CSV has Date, Amount, Payee, Description, and Reference. Dates are YYYY/MM/DD. Amount is one signed column: money in is positive and money out is negative. In Xero, open Accounting, then Bank accounts, then Import a Statement. Assign those columns. Xero asks you to confirm the date format the first time.
United Kingdom, Canada, and Australia
QuickBooks Online in the UK, Canada, and Australia does not upload a PDF bank statement. The US edition does. The file to import is still a .qbo Web Connect statement, or a Xero CSV if the books are in Xero. Each page below names the one layout the parser is checked against in that country, and opens the converter with day/month/year selected.
