From a UK current-account PDF to QuickBooks or Xero

A current-account PDF from a UK bank is the statement you archive. It is not a file QuickBooks Online or Xero can post. StatementSheet reads the text in your browser and builds a QuickBooks Web Connect file (.qbo) or a Xero CSV.

The PDF stays in this browser

A text-based statement is parsed here and is not uploaded. The spreadsheet and the .qbo file are built here too. A scan or photo has no text layer. Pictures are sent only if you agree, and only so the table can be read. Text-based statements never take that path.

Why the PDF will not import

QuickBooks Online in the UK does not upload a PDF bank statement. The US edition does. In the UK, Upload from file is looking for a Web Connect file, or a spreadsheet when that screen asks for one. The PDF you save from online banking is neither of those until the table is converted.

Xero does not import that PDF either. It imports a statement CSV. Dates on a UK current account are day first, often written as 15 Jan 2026, and the money columns are frequently Money out and Money in rather than a single signed amount. The converter keeps that direction and writes the files those two products already know how to take.

What StatementSheet writes

QuickBooks Web Connect is a .qbo file built in the browser. Each row has an id QuickBooks uses to skip a transaction it has already imported, so importing the same file twice should not double-post. Dates inside the file are year-month-day, so they do not depend on a US month-first setting. The bank id defaults to 3000. QuickBooks Desktop may label that source Wells Fargo. The rows do not change if you replace the id before you download. The three-column QuickBooks CSV from this tool is month/day/year, which is the wrong order for a UK file, so use the .qbo download for QuickBooks.

The Xero CSV columns are Date, Amount, Payee, Description, and Reference. Dates are YYYY/MM/DD. Amount is one signed number: money in is positive and money out is negative. The CSV does not carry a currency code. Import it into the sterling account in Xero, then confirm the date format the first time. When the PDF prints GBP, the .qbo currency code follows that. A pound amount written as GBP (186.40) in the Money out column is still money out.

The layout the parser is checked against

The only UK PDF in the parser checks is a synthetic Barclays-style current account. It is not a statement from a real customer, and StatementSheet is not affiliated with Barclays. Dates on that file are written as 15 Jan 2026. The columns are Money out and Money in. Amounts are marked GBP, including a parenthesized figure in Money out. A credit wraps onto a second line, and that line stays on the same row.

No other UK bank has a PDF in those checks. An unchecked current-account PDF can still be opened when the text is selectable. The preview shows the columns it found, and you can correct a mapping before you download. That is a best effort, not a checked layout.

Steps

  1. 1. Save the statement PDF

Download the monthly PDF from the bank. A screenshot has no text layer. The private parser only reads selectable text.

  2. 2. Open the converter on day-first dates

The button on this page sets date order to day/month/year. A date written as 15 Jan 2026 does not depend on that setting. A numeric date such as 05/06/2026 is 5 June when day is first.

  3. 3. Read Money out and Money in

If those headings are printed, money out is a debit and money in is a credit even when the number has no minus sign. Parentheses in the money-out column are still money that left the account.

  4. 4. Download .qbo or the Xero CSV

Use QuickBooks Web Connect for QuickBooks and the Xero CSV for Xero. Import steps for both are on the QuickBooks help page. Both files are built on this computer.

Balance check

When the statement prints balances, the preview checks that the opening balance plus money in, minus money out, equals the closing balance. It highlights the first row where a running balance breaks. If the preview says only some pages were converted, the check cannot see the rows on the pages that were left out.

On the Barclays-style file the parser checks, the parenthesized money-out amount stays a debit and the running balance still reconciles. Compare that result with the balance printed on your own PDF before you import.
