From a Canadian chequing PDF to QuickBooks or Xero

Canadian chequing statements are day/month/year. QuickBooks Online in Canada will not take the PDF, and a month-first reading will silently swap the dates that are still ambiguous. StatementSheet reads the PDF in your browser and writes a .qbo file or a Xero CSV from the rows you can see.

The PDF stays in this browser

A text-based statement is parsed here and is not uploaded. The spreadsheet and the .qbo file are built here too. A scan or photo has no text layer. Pictures are sent only if you agree, and only so the table can be read. Text-based statements never take that path.

Why the PDF will not import

Canadian QuickBooks Online does not upload a PDF bank statement. The US edition does. The practical import is a Web Connect file for QuickBooks, or a statement CSV for Xero. The PDF from online banking is the statement you were given, not either of those files.

The date order is the part US QuickBooks will not save you from. A Canadian chequing date is day/month/year. 15/01/2026 cannot be month-first, because 15 is not a month. 05/04/2026 can, and month-first turns 5 April into May 4. This page opens the converter with day/month/year selected so an ambiguous date is not read as a US date.

What StatementSheet writes

The .qbo file is QuickBooks Web Connect, built in the browser, with an id on each row so a second import of the same file should not double-post. Dates in the file are year-month-day once the preview dates are right. The bank id defaults to 3000, which QuickBooks Desktop may label Wells Fargo. Replacing that id does not change the transactions. Prefer this file over the three-column QuickBooks CSV, because that CSV writes month/day/year.

Xero's CSV is Date, Amount, Payee, Description, and Reference, with dates as YYYY/MM/DD and one signed amount. It has no currency column. Import it into the Canadian-dollar account. The .qbo file does include a currency code. That code is CAD when the PDF prints CAD or C$. A dollar sign on its own is not treated as Canadian dollars, and the file can say USD. The synthetic RBC file prints the words Currency CAD, which is why that sample is not ambiguous. Confirm the code on any statement that does not.

The layout the parser is checked against

The only Canadian PDF in the parser checks is a synthetic RBC-style chequing statement. It is two pages, the dates look like 15/01/2026, and the amount columns are Debit and Credit. One row is an Interac e-Transfer whose payee continues on the next line; that line stays in the description. There is no separate Interac parser. The header prints Currency CAD. It is not a real RBC statement, and StatementSheet is not affiliated with RBC.

No other Canadian bank has a PDF in those checks. A text-based chequing PDF can still be opened, and you should correct the column mapping in the preview. Do not treat an unchecked layout as supported. A US account that happens to use month/day/year is a different file. Set the date order back before you convert that one.

Steps

  1. 1. Download the chequing e-statement

Save the PDF for the Canadian account. If the legal name and the dates are month/day/year, it is not the file this page is describing.

  2. 2. Keep day/month/year

The converter link selects day/month/year. Check a date you know. 15/01/2026 is 15 January. An ambiguous 05/04/2026 should be 5 April, not May 4.

  3. 3. Check Debit, Credit, and wrapped lines

A number in Debit is money out even when it has no minus sign. A second line with no date belongs to the row above it. The synthetic RBC file does this for the payee under an e-Transfer.

  4. 4. Download, then confirm CAD on the .qbo file

Xero CSV takes its currency from the account you import into. The .qbo currency follows CAD or C$ printed in the PDF. If those marks are missing, do not assume the code is CAD.

Balance check

When the statement prints balances, the preview checks that the opening balance plus money in, minus money out, equals the closing balance. It highlights the first row where a running balance breaks. If the preview says only some pages were converted, the check cannot see the rows on the pages that were left out.

The RBC-style file is two pages, and the balance check runs across the rows that were actually read. If the preview says a later page was not included, the closing figure will not match the PDF, because those rows are missing.
